Cash
Track the cash you have, the money you owe and expect, and your projected cash position.
Cash brings your balances, debts, expected payments and planned spending into one place. Use its tabs in order to set up the inputs, review the forecast and act on priorities.
Overview
Cash Command Center is the summary of your cash position. It shows Cash on Hand, must-pay obligations for the week, high-confidence incoming cash and total debt, along with runway, debt triage, a cash waterfall and priority actions.
For the at-a-glance dashboard figure, see the Cash on Hand tile. In Cash, use Refresh to pull current Mercury or Shopify data, then add the debts, bills and expected payments that Keel HQ cannot pull for you.
The health banner explains the current runway:
- CRITICAL means cash is critically low and needs immediate action.
- TIGHT means runway is limited; prioritize must-pay obligations and incoming collections.
- STABLE means runway is healthy, while debt service still needs attention.
- NEEDS DATA means Keel HQ needs Opex cash and payment data before it can calculate runway.
The forecast uses your Minimum Cash setting as its buffer. A yellow stale-balance banner means a manual or imported balance is out of date, so update it before relying on the forecast.
Debts
Use Add Debt to record what your business owes. Keel HQ supports credit cards, charge cards, lines of credit, financing, loans, revenue-based financing and supplier purchase orders. Each debt has a creditor, type, status and notes; standard debt fields include total balance, credit limit where it applies, APR, minimum payment, monthly due day and where its charges come from.
For cards, add the statement balance, statement closing day and the way you pay it: the statement in full, the minimum payment or a fixed amount. A charge card can also use a daily revenue pull. Lines of credit, financing and loans can be revolving, interest-only with a balloon payment, interest-only then amortizing, or amortizing.
Revenue-based financing
Choose Revenue-Based Financing for an advance such as Shopify Capital, Wayflyer or Clearco that is repaid from sales. Enter:
- Advance received — the optional cash advance.
- Total to pay back — the advance plus its fee.
- % of revenue taken — the share taken from sales.
- Paid back so far — the amount already repaid.
Keel HQ shows what is left, the factor rate and an estimated payoff date. In the forecast, it takes the chosen percentage from each week's projected sales and stops once the amount left is repaid. The pull cannot exceed what remains.
Statement balances on cards
For a credit or charge card with both a statement balance and a closing day, the debt card shows Statement $X · Paid $Y · Remaining $Z. Once a payment is counted, the payment label changes from Statement to Remaining. Use Record a payment to enter a payment, or review a payment found in the bank feed.
Cash Flow
Use Cash Flow to maintain the money moving in and out of your business. Bank Accounts shows the balances Keel HQ has available. In Bills, add payroll, rent, supplier obligations and other payments so the forecast and runway can include them. You can set a bill's next due date, category, repeat schedule and whether it can be delayed.
In Incoming Cash, add expected wholesale payments, invoices, financing or other money on its way. Set its expected date, type and confidence. Shopify payouts appear here automatically when available. Mark bills paid or skipped and payments received, cancelled or written off as their status changes.
Forecast
14-Week Cash Forecast projects your cash position from Opening Cash, trailing sales and known obligations. Switch between Chart and Table to see weekly cash movement. The table includes Cash from Sales, Incoming, fixed costs, payroll, debt service, suppliers, ad spend, other cash movement, net cash flow and ending cash.
Use the linked glossary entries to understand the forecast inputs: Fee Rate, Refund Rate, Incoming (high confidence) and Minimum Cash. A week ending below your minimum cash balance is a danger zone.
Keep the forecast useful by selecting the accounts that count as opening cash, keeping bills, debts and expected payments current, and setting the minimum cash balance.
The scenario controls let you explore a Revenue change, a weekly ad-spend override, paused purchase orders, emergency mode, a Shopify Capital case and low-confidence expected payments. When you have a revenue-based financing debt, the Shopify Capital control is labelled Shopify Capital what-if. Scenarios exist only on this page and are lost when you reload it.
Actions
Actions is a priority-ranked list of cash moves suggested from your current position. Filter suggestions by PAY, CUT, NEGOTIATE, SELL, DELAY or COLLECT, then decide which action to take. Suggestions do not make changes for you.
Mark an action done when you complete it. If Mercury is connected, you can match the action to a bank transaction to confirm it happened.
Settings
Cash Settings controls what the forecast starts from and when it warns you.
- In Opening Cash, switch on the accounts that should count toward the forecast. Leave out money held for taxes, profit or reserves. You can also add a manual balance or import a statement for a bank Keel HQ does not sync.
- In Minimum Cash, set Minimum cash balance to the buffer you plan to keep. Forecast weeks below it are marked as danger zones; $0 marks only weeks where cash goes negative.
- In Balance Reminders, use Remind me to update balances to control Monday-morning reminders for owners and admins about manual and imported balances more than 48 hours old.
- In Sales Tax, choose whether you file monthly or quarterly and set its due day so Keel HQ can include the payment in the forecast.
- In Transaction Matching, choose the default Mercury account used when matching an action to a transaction.
Import a bank statement
Keel HQ connects directly to Mercury. For another bank, choose Import statement in Opening Cash and upload a statement from that bank's website.
You can import .ofx, .qfx or .csv files up to 5 MB. OFX and QFX files provide the account balance and date. For a CSV, map the date and amount columns (or debit and credit columns); you can optionally add an ending balance and its date. Re-importing a newer statement updates the balance and skips transactions already imported.
